What we collect

Information you provide through this website (such as your name, email, phone number, and message) and, when you engage us, the identification, financial, and tax information reasonably needed to deliver our services.

Why we collect it

To respond to enquiries, deliver accounting, tax, and advisory services, administer our engagements, and meet our legal, regulatory, and professional obligations. By providing your information for these purposes, you consent to its use as described in this policy.

How we protect it

Client documents are exchanged and stored through secure, access-controlled systems, including our client portal, which requires identity verification before access. We apply commercially reasonable safeguards, limit access to what is necessary to serve you, and use encrypted platforms for document exchange. We encourage clients to send sensitive documents through the client portal rather than by email or messaging apps, which carry inherent security limitations outside our control.

Where your information is stored

We use reputable service providers — including Microsoft 365 for email, document storage, and our client portal — whose servers may be located outside Canada, including in India and the United States. Information stored in a foreign jurisdiction may be subject to lawful access by courts and authorities in that jurisdiction. We remain responsible for personal information in our custody regardless of where it is stored, and we maintain copies of engagement records in Canada in accordance with the Income Tax Act (Canada).

Third parties

We share information only as needed to deliver our services (for example, with secure document, e-signature, scheduling, or filing platforms), with your consent, or as required by law. This website also embeds third-party services (such as Google Maps, Google Fonts, Microsoft Forms, and Microsoft Bookings) that operate under their own privacy policies and may collect standard technical data.

Retention

We retain engagement records for at least six years to meet tax, regulatory, and professional obligations, after which they are securely destroyed. Please note that taxpayers remain responsible under the Income Tax Act for keeping their own books, records, and supporting documents for six years from the end of the taxation year to which they relate; our file copies do not replace that obligation.

Your rights

You may request access to, or correction of, your personal information, or withdraw consent (subject to legal and contractual limits), by contacting us at ask@accfin.ca. If we become aware of a privacy breach creating a real risk of significant harm, we will notify affected individuals and the appropriate authorities as required by law.
